Privacy Policy

Confidentiality and trust are a key part of counselling. Below I outline my privacy policy. It explains what data I collect, why I collect it and what I will and won’t do with it. You can also download this document as a pdf.

 

Any personal data that you provide to Green Shoots Counselling through any means (verbal, written, in electronic form, or by your use of the Green Shoots website) will be held and processed in accordance with the data protection principles set out in the General Data Protection Regulation for the purposes for which you have given consent, to provide the services you have requested, and to meet the legitimate interests of Green Shoots Counselling.

 

 

Introduction

Green Shoots Counselling (run by Eleanor Abraham, the ‘data controller’, referred to below as “Green Shoots”, “I” or “me”) is committed to protecting your privacy. Please read the following in order to learn more about Green Shoot’s privacy policy and information collection and use practices.

This policy only applies to data collected by Eleanor Abraham via the Green Shoots own website and contact forms. Third party agents and websites that are linked to Green Shoots, are not covered by this policy. If you have any queries concerning your personal information or any questions on my use of the information, please contact me using the contact form.

 

When you request counselling with Green Shoots Counselling or otherwise provide your personal details to me, you will be asked to consent to my processing of your data under the terms of this policy.

What information does Green Shoots collect?

  • Counselling Requests– Contacting Green Shoots to request counselling can be done by telephone, email or via the contact form on the Green Shoots website. The process of requesting counselling involves providing me with your name and preferred telephone number or email address. At this stage I may also need to request information on your availability to allow me to organise and initial appointment

  • Initial Appointments– I offer an initial appointment in order to work out if counselling is right for you at this time. At the initial appointment I ask about your current personal, social and medical circumstances.  I may also ask about your background and family history, as well as the issues and events that have led you to seek counselling. I require this information so that I can decide whether the type of counselling I offer is appropriate for you. If you are seeking counselling as a student, I would also require proof of your student status. This can be achieved by showing me a valid student ID. If you decide that you would like to proceed with counselling after the initial appointment then I will ask for the details of your GP practice.

  • Website – I use Cookies and Google Analytics to collect anonymous data relating to user behaviour and ‘web traffic’ statistics, in order to make my website as accessible and helpful as possible. The collection and use of this data by Google Inc. is subject to their own Privacy Policies.

 

What does Green Shoots use your information for?

Green Shoots uses information held about you in the following ways:

  • To provide my clients with the professional counselling service that you have requested from me.

  • To offer suitable counselling appointments at a time you are available.

  • To notify you about changes to your appointments and other changes to my services.

  • To seek feedback from you on your experience of counselling.

  • To improve the Green Shoots Counselling service to ensure that it is provided in the most effective manner for you and for me.

  • To administer the Green Shoots Counselling service, including the arrangement of appointments, the handling of payments, and for financial control, data analysis, research, statistical and survey purposes.

  • To keep in touch with those who consent to this, for the purposes of organisational, service and professional development.

  • To fulfil my administrative, legal and contractual obligations as a self-employed counsellor.

What information/data does Green Shoots Counselling share?

I will not share any information about you with other organisations or people, except in the following situations:

  • Consent – I may share your information with professional carers (e.g. GP, Community Psychiatric Nurse etc.) or others whom you have requested or agreed I should contact.

  • Serious harm – I may share your information with the relevant authorities if I have reason to believe that this may prevent serious harm being caused to you or another person. Where possible, I would always seek your consent first, but if this is not possible my ethical duty would be to prevent harm taking place.

  • Compliance with law – I may share your information where I am required to by law or by the regulations and other rules to which I am subject.

  • Supervision – should we decide to commence counselling work together after our initial session then I will take themes from our work to my counselling supervisor. I will not share any details with my supervisor that could make your identifiable. More information on supervision and how it works will be given during the initial session.

How does Green Shoots Counselling keep your information safe?

All information you provide to Green Shoots Counselling is stored as securely as possible.  All paper forms and correspondence are kept in locked filing system on my premises.  Telephone numbers are stored on my work mobile phone which is password protected.  

Unfortunately, the transmission of information via the internet is never completely secure. Although I will do my best to protect your information using industry-standard protocols and encryption, I cannot guarantee the security of your data transmitted to me via email, including the contact form on my website which is transmitted by email; any transmission is at your own risk. Once I have received your information, I use strict procedures and security features to try to prevent unauthorised access.

Your identifiable personal information is kept separately from any session notes and other descriptive material.

How long will Green Shoots Counselling store your data for and how will it be disposed of?

Client notes and other documentation are destroyed 5 years after we finish working together, in line with the requirements of my insurance policy. 

I will delete your telephone number and any other contact details you have provided one month after we finish working together.

All emails between us will be deleted as soon as they are no longer needed and at least within one month of us finishing working together.

 

 

Your rights

You have the right to ask me to provide a copy of the information held by me in my records. You also have the right to require us to correct any inaccuracies in your information. If you would like to do this, please contact me using my contact form or any of the other methods of contact listed on the Green Shoots Counselling website.

 

You may withdraw your consent for me to hold and process your data at any time.  However, if you do this while actively receiving counselling from Green Shoots, your counselling would have to end.  You can withdraw your consent by contacting me via my contact form or any of the other methods of contact listed on the Green Shoots Counselling website.

 

If you are not happy with the way I use your data, you can complain to the ICO at www.ico.org.uk

 

 

Changes to this policy

I may edit this policy from time to time. If we make any substantial changes I will notify you by posting a prominent announcement on my website.
